Buying wrap and packaging for an event

Estimating for volume is a different exercise from buying for one occasion.

What this covers

  • Count the parcels, not the guests
  • Wrap one prototype first
  • Add a margin for mistakes
  • Batch by operation, not by parcel
  • Standardise where you can
  • Consider bags for volume
  • Ordering with time in hand
  • Storing before the day
  • What to keep afterwards

Count the parcels, not the guests

Some guests receive several items and some receive none. Work from the number of packages you will actually produce. That number is usually different from the headcount and it is the one that drives every other quantity.

Wrap one prototype first

Wrap a single representative parcel and record what it consumed: paper area, tissue sheets, tape, ribbon, filler. Multiply from a measured figure rather than an estimate. This single step removes most of the guesswork.

Add a margin for mistakes

Twenty per cent over the calculated quantity is a reasonable margin for errors, awkward items and last-minute additions. Running short mid-run is the expensive outcome, because matching a paper or a colour later is often impossible.

Batch by operation, not by parcel

Cut all the paper, then wrap all the parcels, then label all of them. Working parcel by parcel means constantly switching tools and is substantially slower. Anyone who has packed a hundred favours has arrived at this independently.

Standardise where you can

Using one or two box sizes and one paper across the event is faster, cheaper and looks more deliberate than variety. Variation is better introduced through ribbon or tags, which cost little and change nothing about the packing process.

Consider bags for volume

For large runs, non-woven bags with tissue are dramatically faster than wrapping and are reused afterwards. The material cost per parcel is higher; the labour cost is far lower. At a certain volume the trade becomes obvious.

Ordering with time in hand

Order early enough that a shortfall can be corrected before the date. Shipping is a flat rate and free over the threshold, so a single well-planned order costs less than an emergency second one and removes the risk entirely.

Storing before the day

Keep everything flat, dry and together in one place. Rolls stored upright crease, tissue absorbs damp, and supplies distributed around a house have a way of being incomplete on the day. One box for the whole job.

What to keep afterwards

Leftover neutral paper, tissue and filler keep indefinitely and get used. Heavily themed or dated material generally does not. Buying neutral base materials with themed accents is the approach that leaves the least waste.

How this applies when you are buying

Rolls stored upright in a corner slump and crease at the bottom, which is where most wasted wrap goes. Flat under-bed storage keeps them straight and keeps ribbon with the paper it matches. Check the container length against your longest roll before buying.
